Office Support Executive (maternity cover)

A varied support role at a busy Digital Marketing agency.

Main Function of Job Role:

The role of Office Support Executive is charged with supporting the Coast Digital studio with office management, project and general administrational support. This includes looking after our general office environment, supporting our maintenance contacts, project support activities and helping to Coast Digital remain a clean, safe and fun environment to work in.

In addition to these functions employees are required to carry out such other duties as may be reasonably required within your skill and competence.

Main Duties

General administration

  • Open and distribute post
  • Ordering toner/stationery/coffee/tea etc
  • Arranging tradesmen/repairmen
  • Filing – job sheets, holiday forms etc
  • Arranging travel and training for staff etc
  • Compiling quotes and ensuring the office is sufficiently insured
  • Ensuring the office meets all fire and health and safety standards
  • Note taking at meetings etc
  • Arranging lunch for meetings
  • Stocking up at the cash and carry

Teamwork and jobsheet administration

  • Managing monthly internal finance spreadsheet
  • Administering projects for staff members on internal software

HR administration

  • Manage holiday and sick sheets
  • Induction with new starters
  • Staff confidential HR filing i.e. salary amendments etc
  • Managing the pension
  • Managing the healthcare
  • Managing the childcare vouchers

Design & Build support

  • Participating in the testing and quality assurance of development work presented to customers
  • Scheduling bug fixes, retesting and keeping the client updated on progress

Design & Build support

  • Willingness to help out other teams within the business as the need arises
  • Create strong relationships and establish good lines of communication with the other teams

Skills & Competence Required

  • Proactive individual and keen to be a hands on member of the team – (essential)
  • Excellent organisational, time management and problem solving skills – (essential)
  • Excellent communication and interpersonal skills – (essential)
  • A full clean driving licence – (essential)
  • Experienced web user – (nice to have)
  • Knowledge of a project management discipline – (nice to have)
  • Experience in the writing of detailed documents – (nice to have)
